Visiting the site

The public pages set no cookies and run no analytics or advertising. Our web server keeps the usual short-lived logs of requests, including your IP address, to keep the site secure; they are not used for anything else.

What we hold about members

When you join the members’ area we keep:

  • Your account: your name, your email address and your passcode, stored scrambled so that nobody, including us, can read it.
  • Your profile: whatever you choose to tell us on your Profile and preferences page, such as how you like to be addressed, your contact details, your birthday, your home club and handicap, and what you like to eat, drink and play.
  • Your trips: the dates, who is coming, what you have asked us to arrange, your notes to the concierge and our replies.
  • The team’s own notes on your stays and preferences, kept so that anyone on shift can look after you the way you are used to.
  • Photographs the team keeps so that everyone knows your face. They are stored on the club’s own server and shown to the team only.

Why, and who sees it

We use it for one purpose: to arrange and look after your visits. It is seen by the club’s own team and nobody else. When we book a tee time or a table for you, the course or restaurant is told only what the booking needs, such as your name, the size of your party, the time, and any dietary needs a kitchen must know. Nothing is sold, shared for marketing, or passed to anyone outside the club for any other reason.

Your guests

When you tell us about the people coming with you, we keep what you say with your trip and use it only for their visit. Please let them know you have done so. If they would rather we held nothing about them, tell us and we will remove it.

Where it is kept, and for how long

Everything lives on the club’s own server, not with a third-party service. Backups are taken every night and kept for up to two years so that nothing is lost. We keep your account and profile for as long as you are a member, and a record of your trips as a history of your stays. If you leave the club, tell us and we will remove what you would like removed.

Cookies

The members’ area sets one cookie, which keeps you signed in for fourteen days. Signing out removes it. There are no others.

Your rights

You can see and change what is on your profile at any time from the person icon at the top of the members’ area. For anything else we hold, to have something corrected or deleted, or to ask any question about this page, write to members@hogshavengolfclub.com. If you are unhappy with how we have handled your details you can also complain to the Information Commissioner’s Office.
